This Privacy Policy (“Policy”) outlines our protocols for the collection, storage, processing, and transfer of personal data belonging to our Participants (“you” or “your”).
ARTICLE 1: LEGAL FRAMEWORK & COMPLIANCE
This Policy is formulated in strict accordance with the Personal Data Protection Act B.E. 2562 (2019) of the Kingdom of Thailand (“PDPA”). Where Services are provided to individuals residing in the European Union or the United Kingdom, we strive to adhere to the principles of the General Data Protection Regulation (GDPR).

ARTICLE 2: CATEGORIES OF DATA COLLECTED
To facilitate professional internship placements, Regent must collect extensive personal and sensitive information. These categories include, but are not limited to:
2.1 Personal Identification Data
- Full legal name, gender, date of birth, and nationality.
- Passport details (number, date of issue, and expiry).
- National Identification numbers or Social Security numbers (where required for work permits).
2.2 Contact Information
- Permanent residential address and current mailing address.
- Personal email addresses and telephonic contact numbers.
- Emergency contact details (Name, Relationship, and Phone).
2.3 Academic & Professional Data
- Curriculum Vitae (CV) and professional biographies.
- Academic transcripts, diplomas, and enrollment certifications.
- Language proficiency test scores (e.g., IELTS, TOEFL).
- Prior employment history and reference contact details.
2.4 Sensitive Personal Data Under the PDPA, certain data is classified as sensitive. We only collect this with your explicit consent:
- Health Data: Vaccination records, physical/mental health disclosures, and allergy information (necessary for insurance and Host Hotel safety).
- Criminal Records: Background checks required for visa processing and hospitality security vetting.
ARTICLE 3: PURPOSES OF DATA PROCESSING
Regent processes your data strictly for the following legal and operational purposes:
- Placement Mediation: Sharing your professional profile with Host Hotels to secure internship offers.
- Immigration Support: Preparing Invitation Letters, Visa Support Letters, and Work Permit applications.
- Insurance Coordination: Facilitating the issuance of mandatory international health and liability insurance.
- Program Administration: Managing invoices, processing refunds, and providing pre-departure orientations.
- Legal Compliance: Adhering to the reporting requirements of the Thai Ministry of Labor and Immigration authorities.
ARTICLE 4: DATA SHARING & INTERNATIONAL TRANSFERS
4.1 Third-Party Disclosures As an intermediary, Regent must share your data with third parties. By agreeing to our Terms, you authorize the transfer of data to:
- Host Hotels: HR departments and department heads for interview vetting.
- Government Authorities: Embassies, consulates, and immigration bureaus.
- Service Partners: Travel agents, insurance brokers, and housing providers.
4.2 Cross-Border Transfers Your data will frequently be transferred outside of Thailand to the country of your intended internship. Regent implements strict data transfer agreements with international partners to ensure your information remains protected according to Thai PDPA standards.
ARTICLE 5: DATA RETENTION & SECURITY
5.1 Retention Period We retain your personal data only for as long as is necessary to fulfill the purposes of this Agreement or to comply with statutory legal requirements (typically five to ten years for financial and tax records).
5.2 Security Measures Regent employs robust technical and organizational measures to prevent unauthorized access, loss, or theft of your data. This includes:
- Encryption: SSL/TLS encryption for all digital data transmissions.
- Access Control: Restricted access to personal files, limited to authorized Regent staff only.
- Anonymization: Removal of identifying markers once the data is no longer required for active placement.
ARTICLE 6: YOUR LEGAL RIGHTS UNDER PDPA
As a “Data Subject,” you possess the following rights:
- Right to Access: You may request a copy of the personal data we hold about you.
- Right to Correction: You may demand the rectification of inaccurate or incomplete data.
- Right to Erasure: You may request the deletion of your data once the Program is concluded (subject to legal retention mandates).
- Right to Withdraw Consent: You may withdraw your consent for data processing at any time. Note: Withdrawing consent during an active placement sourcing process will result in the immediate termination of Services without refund.
ARTICLE 7: COOKIES & DIGITAL TRACKING
Our website utilizes “cookies” to enhance user experience and analyze web traffic. You may choose to disable cookies in your browser settings; however, this may limit the functionality of our application portals.
ARTICLE 8: POLICY MODIFICATIONS
Regent reserves the right to amend this Privacy Policy at any time to reflect changes in law or our data practices. The “Last Updated” date at the top of this document will indicate the most recent revision.
